Restaurant Payroll Software: A Multi-Location Evaluation Checklist

Restaurant payroll software should first help you pay people accurately. Labor cost control is another requirement, but it should not come at the expense of complete time records or correct wages.

For a multi-location group, evaluate the full path from the time clock to the payroll register and location P&L. A polished dashboard cannot repair a missing punch or an incorrect employee mapping on its own.

Test the source records

Use a representative sample that includes a location transfer, a role change, a corrected punch and overtime. Ask how each record reaches payroll and how exceptions are reviewed. Confirm who can edit a timecard and whether the original entry and approval trail remain available.

For U.S. operations, compensable hours include work the employer permits, not just hours on the posted schedule. Labor targets do not justify deleting hours already worked. Department of Labor.

Compare capabilities rather than product labels

Some scheduling and payroll platforms also offer timely labor visibility. For example, 7shifts documents overtime push notifications, subject to plan, time-clocking and integration requirements. It would be inaccurate to assume that payroll-related tools only report after the fact. 7shifts overtime alerts.

Ask the vendor to demonstrate your actual scenario rather than checking a generic “real-time” box.

Use a payroll demo scorecard

Score each item demonstrated, partial or not demonstrated. Retain the demonstration record, accountable owner and any extra charge. These are buying questions, not verified capabilities of a named provider.

Treat an unresolved pay calculation or filing responsibility as a purchase blocker, regardless of a high overall score. Confirm the required service rather than assuming a vendor takes responsibility for every compliance obligation.

Once payroll definitions are agreed, use the labor cost calculator to compare labor with matching sales and your own target.

Give alerts a response process

An alert needs a responsible manager and a decision window. Before changing staffing, consider service demand, required breaks, safe coverage and applicable scheduling rules. Record what changed and review actual hours afterward.

Do not count an alert as savings. Separate acknowledged messages, actions taken and measured results. A week with lower labor percentage may reflect higher sales rather than fewer paid hours.
