Marty vs. Apicbase: Inventory Workflows and Managed Profit Control
If a restaurant's margin is under pressure, recipe cost is one place to investigate. It is not the only place, and a recipe that looks correct does not prove the remaining problem is labor or cash.
Apicbase and Marty should be evaluated against the question you need answered. Marty is not a replacement for a food inventory and procurement workflow.
Marty targets U.S. restaurant groups with 5–50 locations and $10M–$100M in revenue, led by an owner, COO, CFO, controller or operating partner who needs consistent follow-through across locations.
Apicbase covers execution as well as planning
Apicbase documents actual-versus-theoretical food cost, waste records, inventory counts, POS-linked inventory movement and low-stock alerts. Its procurement offering includes ordering and invoice reconciliation. That makes it relevant to both planning and day-to-day inventory work. Apicbase inventory management, procurement.
Feature availability and the quality of a specific deployment still need checking with the provider.
Diagnose the type of variance first
For food cost, compare the same period and confirm that recipes, package units, receipts, transfers and counts are reliable. Apicbase's CoGS guidance specifically identifies those inputs as important to meaningful comparisons. Apicbase CoGS dashboard.
A variance can reflect unrecorded waste, a recipe setup issue, count errors or another operational cause. The number alone does not tell you which one.
For other issues, collect the relevant sources separately. A cash-deposit mismatch needs a different evidence trail from an inventory variance. Avoid forcing every problem into the tool category you already know.
When to use each approach
| Your immediate need | Evaluation focus |
|---|---|
| Standardize recipes and stock records | Food inventory workflow and data quality |
| Improve ordering and receiving | Procurement controls and execution |
| Understand which issues matter most across locations | A supported diagnosis and prioritization |
| Keep identified issues from recurring | Ownership, follow-through and a later measurement |
Avoid replacing a working control prematurely
If inventory data is incomplete, the first fix may be better counts or receiving discipline. A broader Review does not remove that work. Likewise, buying inventory software alone does not establish that every cash or labor question has been answered.
Bring an example of the unresolved issue and identify the records that can support it. Confirm Marty's access method and scope before assuming a direct Apicbase integration or live coverage.
Follow one Apicbase inventory variance
Use the documented actual-versus-theoretical comparison as the starting signal. This is an illustrative handoff, not a claim of a native Marty integration. Apicbase inventory workflow.
| Evidence / stage | Existing inventory workflow and team | Proposed Marty responsibility |
|---|---|---|
| Count and theoretical comparison | Inventory lead checks count units, recipes and matched sales period | Determine whether the variance is supported or an input problem |
| Receiving and waste | Team retains receiving records and recorded waste | Assign the person who can explain the remaining difference |
| Agreed process change | Kitchen or receiving lead implements the approved step | Follow up and escalate missed action |
| Next comparable count | Team preserves the updated records | Check whether the issue persists, without claiming every variance is recovered cash |
Choose Apicbase or another inventory workflow when the missing work is maintaining recipes, counts or procurement. Configure the current tools first if inputs or reports are the problem. Consider Marty when complete records still leave cross-location issues unowned or unresolved across inventory, payroll and cash. Confirm access, historical detail and cadence before agreeing service scope.
Use the food-cost variance checklist when counts and invoices disagree. Compare the process with source-backed review findings, where missing records are separated from actual recovery.
Follow the inventory finding through
Marty is a managed profit-control layer: Find → Assign → Follow up → Verify. The paid Cash Recovery Plan establishes what to watch first, with evidence, owners, actions and a 30-day plan. Delivery is seven business days after required access is complete; read-only access and the flat fee are confirmed first.
Optional Managed Profit Control continues the agreed checks, manager alerts, follow-up, escalation and verification. Start the Cash Recovery Plan.
